At VANSTU x BASE ("we," "us," or "our"), a collaboration between VANSTU and BASE, we value your privacy. This Privacy Policy explains how we collect, use, share, and protect your information when you use our Services (mobile apps and website). By using the Services, you consent to these practices. If you do not agree, please do not use the Services.
1. Information We Collect
We collect information in the following ways:
- Information You Provide: When registering or using the Services, you may provide personal data such as your name, email address, profile photo, VANSTU role (e.g., member, ambassador, or volunteer), messages, comments, activity participation details, and other content.
- Automatically Collected Data: We collect technical and behavioral data, including IP address, browser type, device identifiers, operating system, interaction metrics (e.g., message response times, invitations sent, activity completions), cookies, and usage logs. This helps track points, rewards, and—for ambassadors and volunteers—analyze involvement and soft skills via our AI algorithms.
- From Third Parties: If you link an SNS Account, we may receive information like your name and email, subject to your settings there. We may also receive VANSTU-related data from VANSTU.
- Derived Data: Our AI generates insights, profiles, certifications, quantifications of soft skills (for ambassadors and volunteers), points, and rewards based on your interactions and activities.
We do not intentionally collect sensitive personal data (e.g., health or financial info) unless you provide it. Do not share private or sensitive information, as all messages are publicly accessible.
2. How We Use Your Information
We use your information to:
- Provide and improve the Services, including facilitating participation in activities, tracking points and rewards, and—for ambassadors and volunteers—AI analysis for measuring, showcasing, and certifying involvement and soft skills;
- Contribute every interaction (for ambassadors and volunteers) to your official profile and publicly display certifications, rankings, percentiles, points, or rewards (including your name, profile photo, VANSTU role);
- Facilitate official team communication and collaboration (for ambassadors and volunteers);
- Communicate with you (e.g., notifications, updates, support);
- Develop new features and conduct analytics (using de-identified or aggregated data);
- Protect against fraud, enforce our Terms, and comply with laws.
All chats are public, and interactions are analyzed openly for transparency and credibility.
3. How We Share Your Information
- Publicly: Messages, interactions, activity details, soft skills quantifications (for ambassadors and volunteers), profiles, certifications, points, and rewards are visible to all users and may be accessible outside the platform, including to VANSTU admins and the public.
- With Service Providers: We share with third-party vendors (e.g., hosting, analytics) under confidentiality agreements.
- With VANSTU: As a collaboration app, we share data with VANSTU for official purposes, such as verifying membership, activities, points, rewards, or certifications.
- For Business Purposes: In mergers, acquisitions, or asset sales, your data may be transferred.
- Legally Required: To comply with laws, subpoenas, or protect rights/safety.
- Aggregated/De-Identified: For research or marketing, without identifying you.
We do not sell your personal data.
4. Data Retention and Security
We retain data as needed for the Services (e.g., public profiles, certifications, points, and rewards persist) or legal obligations. When no longer needed, we delete or anonymize it. We use industry-standard security measures (e.g., encryption, access controls) but cannot guarantee absolute security. Given the public nature of the Services, users should avoid sharing sensitive information.
5. Your Rights and Choices
Depending on your location, you may have rights to:
- Access, correct, or delete your data (note: public content may remain visible);
- Opt out of certain uses (e.g., marketing emails);
- Withdraw consent (though this may limit Services or affect certifications, points, or rewards);
- Lodge complaints with data protection authorities.

6. Children's Privacy
The Services are not for children under 13. If we learn we've collected data from a child under 13, we will delete it. Parents: Contact us with concerns.
7. International Data Transfers
Data may be processed in Canada and the United States. We use safeguards like standard contractual clauses for transfers to ensure protection.
